PTA Central

Features

Everything included, in every plan

Here’s everything PTA Central does. There are no add-ons and no premium tier: every PTA gets all of it.

Your website

A website parents will actually use

A friendly, fast website for your PTA that you can update from your phone. No web designer needed.

Your own address

Start at yourpta.ptacentral.co.uk and connect your own domain when you’re ready. The secure padlock (HTTPS) is set up for you.

Edit every page yourself

Change the home page, about page, FAQs and your own pages from the members’ area, and preview before you publish.

News and a site banner

Post news with pictures, and put an urgent message across the top of every page, like “The fair has moved into the hall”.

What’s on

Upcoming events with an add-to-calendar button, and a calendar feed parents can subscribe to.

What you’re saving for

Fundraising targets with progress bars, and the things you’ve already bought for the school, with photos.

No accounts for parents

Parents buy tickets, volunteer and donate without having to make an account first.

Events

Events, tickets, volunteers and stalls

Plan the disco, sell the tickets, fill the rota and fill the field with stalls, all in one place.

Tickets by card or bank transfer

Sell tickets through your own Stripe account, or by bank transfer with a reference. Ask for things like a child’s first name and class.

Door check-in

Every ticket has a QR code. Scan it at the door with the app, or tick names off the door list.

Volunteer rotas

Parents pick a shift online and get a reminder. You can see at a glance where you’re short.

Stall bookings

Makers and local businesses book and pay for a pitch. Insurance certificates are collected, then deleted six months after the event.

Cash counts

Two people count the cash box together, note by note, and the takings go straight into your accounts.

See how it did

Budget against actual for every event, and copy last year’s event when it comes round again. Risk assessments and posters live with the event too.

Money

Charity accounts without the spreadsheet

Keep the books as you go, so the year end takes an evening, not a month. Everyone on the committee can see where the money goes.

Claims with receipt reading

Snap a receipt and AI reads the supplier, date and amount for you. Check it, choose the event and send it.

Two-person approvals

Nobody approves their own claim, and claims over a limit you set need two approvers. Bank details for paying people back are encrypted.

Bank statement matching

Import a statement file from your bank and match each line: ticket payments by their reference, with suggestions for the rest.

Invoices

Make invoices for sponsors and stallholders, and keep track of what’s been paid.

Funds and budgets

Keep restricted and designated money separate, set a budget for the year, and see how you’re doing against it.

Year-end accounts

Receipts and payments accounts and a statement of assets and liabilities in the Charity Commission’s CC16 layout. Close the year to lock it.

Examiner pack

Every transaction as a spreadsheet and every receipt in one ZIP file, ready for your independent examiner.

The money section of the members’ area: balances, money in and out, and reports

Taking payments

Card payments that go straight to you

Money from tickets, donations and the shop goes into your PTA’s own accounts. We never hold it and never take a cut.

Your own Stripe account

Connect your PTA’s Stripe account to take cards online. Stripe’s fees and payouts are recorded in your accounts for you.

Classlist payments too

If parents pay you through Classlist, those payments arrive in your Stripe account and are picked up automatically.

SumUp card readers

Card reader sales at events come in by themselves, linked to that day’s event, with the fees and payouts recorded.

Gift Aid

Donors make a Gift Aid declaration as they give. You get the claim schedule for HMRC and a record of what’s been claimed.

Fundraising

Raise more, and show families what it bought

Show families what you’re raising money for, how close you are, and what it bought.

Targets with progress

Say what you’re saving for and show the progress on your website as the money comes in.

What you’ve bought

Celebrate every purchase with a photo, the cost and the difference it’s made.

Sponsors

Sponsorship packages local businesses can buy online, with their logo on your website and a reminder before each one ends.

A shop for pre-loved uniform and merchandise

Sell second-hand uniform by size and condition, and PTA merchandise, at a fixed price or pay-what-you-like. Stock keeps itself up to date, with a pick list of orders to collect.

Raffles, within the law

Paper ticket books and online tickets, with the Gambling Act built in: an incidental lottery at an event or a small society lottery registered with your council, with the legal limits checked and the council return ready. The draw is fair and recorded.

Silent auctions

Bidders confirm their email and set a maximum bid. A late bid adds two minutes to that lot, so nobody gets sniped, and winners get a link to pay.

Donations

A donate page with suggested amounts, and Gift Aid for UK taxpayers.

Santa letters

Santa letters, done safely

A favourite fundraiser that involves children’s details, so it gets the strongest protection in PTA Central.

A simple form for parents

Parents add each child’s first name and a few details, upload the child’s own letter, and pay or donate.

Encrypted, then deleted

Children’s details are encrypted and deleted automatically on the date you set, usually in January.

Only your elves can see them

Only members with the Santa’s elf role can read children’s details, and every look is recorded.

Print-ready letters

Start each reply from a template (or with optional AI help), check it, then print on festive A4 stationery.

School wish lists

Wish lists, with logins for teachers

Teachers tell you what their class would love, and you decide together what to buy.

Teacher logins

Teachers get a School staff login to add what their class needs, with links, prices and how much it matters.

Decide and keep track

Filter and total every request, decide what to fund, and record the purchase.

A thank-you from the class

Teachers post a thank-you once it arrives, so everyone sees where the money went.

Keeping in touch

Newsletters, messages, chat and photos

Reach families without spamming them, and keep the committee chat out of your personal WhatsApp.

Newsletters people asked for

Sign-ups confirm by email (double opt-in), every email has a one-click unsubscribe, and you can send to particular classes.

A shared contact inbox

Messages from your website’s contact form land in one place, so nothing gets lost in someone’s personal email.

Chat and polls

Group chats for the committee and each event team, direct messages and quick polls, live in the app and the browser.

Photo albums

An album for every event, made for you. Pictures are made smaller as they’re added, and you choose which are OK for the website.

Running the PTA

The paperwork, sorted

Meetings, documents and the charity rules, without the box file.

Meetings, minutes and actions

Agendas, minutes (with optional AI help to tidy rough notes) and actions that become tasks. Add a Zoom, Google Meet or Teams link.

Documents with access levels

Your constitution, policies and minutes in one library. Each folder is public, members only, committee only or trustees only.

Tasks

Shared tasks with due dates, linked to events and meetings, so everyone knows who’s doing what.

Charity set-up checklist

Step by step through registering as a charity, then the jobs that come round every year.

DBS check records

Note who has a DBS check, when it was seen and when it needs renewing, without keeping copies of certificates.

Your PTA, your way

Members, roles and settings

Everyone gets what they need, and nothing they don’t.

Members and roles

Chair, treasurer, secretary, class reps, helpers, teachers and Santa’s elves. Each role sees only what it needs, and you can make your own.

Help videos

Short how-to videos for everyday jobs, in the members’ area and the app.

Your own domain

Use yourpta.co.uk instead of a PTA Central address. Our guide walks you through it, and HTTPS is set up automatically.

You choose who finds you

Decide whether search engines list your website, and whether parents can find you in “Find your PTA”.

And on the go

The PTA Central app for iPhone and Android

Door check-in, receipts, approvals, photos, chat and notifications, with Face ID sign-in.
