Terms of service
Last updated 21 October 2026
The agreement between your PTA and us when you use PTA Central. We’ve kept it as short and clear as we can.
1. About these terms
PTA Central is made and run by Wilgenry (“we”, “us”). You can reach us at hello@ptacentral.co.uk.
These terms are between us and the PTA, PTFA or Friends association (“your PTA”) that signs up. The person who signs up confirms they’re allowed to agree to them for the PTA. Our data processing agreement and refunds policy are part of these terms.
PTA Central is for school PTAs and similar groups in the UK.
2. What you get
A PTA Central subscription gives your PTA its website, its members’ area, its charity accounts and use of the PTA Central app, as described on our features page, for as many members and events as you like. Every plan includes every feature.
We keep improving PTA Central, so things will change over time. If we ever plan to remove something important that PTAs rely on, we’ll tell your super admin in advance.
3. The free trial
New PTAs get a 30-day free trial with everything switched on. You don’t need a card to start, and you won’t be charged automatically. To carry on after the trial, pay for a year from your members’ area, or have a local business sponsor it.
4. Paying
PTA Central is paid yearly, in advance, at the price on our pricing page for the plan that fits your school’s size. Prices are per year and include any VAT due.
- You pay by card through Stripe from your members’ area. If you can’t pay by card, ask us about a bank transfer.
- Subscriptions don’t renew automatically. We remind you before your year ends, and you choose whether to pay for another.
- If a year ends without payment, everything keeps working for 30 more days. After that your site is paused: it’s not deleted, and paying brings it straight back.
- If we change our prices, the new price applies from your next renewal, and we’ll tell you at least 30 days before.
- A local business can pay for your year as a sponsor. The year it pays for starts when your current year or trial ends.
5. Fair use
To keep PTA Central affordable for every PTA, each one has a fair share of the things that cost us money to run: up to 20,000 emails a month, 1,000 AI reads (receipts, invoices and statements) a year, and 20 GB of storage. If your PTA needs more, we’ll talk to you before anything changes.
6. Your responsibilities
- Keep sign-ins safe: don’t share accounts, and use two-step sign-in. Remove people who leave the committee.
- Use PTA Central lawfully. Your PTA is responsible for what it publishes and sends, and for following the rules that apply to it: data protection (your PTA is the data controller), email marketing rules, charity law, Gift Aid claims and lottery rules. PTA Central helps, but your committee makes the decisions.
- Don’t use PTA Central to send spam, to publish anything unlawful, harmful or that you don’t have the right to use, or to try to break into or overload it.
- Check your accounts and returns before you rely on them. PTA Central is a tool, not accountancy, legal or tax advice.
7. Your data
Your PTA’s information belongs to your PTA. We look after it as your processor under our data processing agreement, we don’t sell it, and we only use it to run PTA Central for you.
You can download your records whenever you like from your members’ area, including your accounts and examiner pack (every transaction and receipt), your mailing list and your documents.
8. Payments you take
Money your PTA takes (tickets, donations, the shop, stalls and so on) goes to your PTA’s own Stripe or SumUp account, under your PTA’s own agreement with them. We never hold your PTA’s money and we don’t take a percentage of it. Anything your PTA sells is between your PTA and the buyer.
9. Keeping it running
We work hard to keep PTA Central available, secure and backed up every night, and we fix problems as quickly as we can. Sometimes we need short breaks for updates; we keep them as brief as possible. We can’t promise it will never be interrupted. Help is available by email at hello@ptacentral.co.uk.
10. Cancelling and ending
You can stop at any time: simply don’t renew, or ask us to close your PTA’s account. There’s no notice period and no exit fee. See our refunds policy for when we give money back.
Before you go, download what you need. If you ask us to close your account, we’ll delete your PTA’s data as our data processing agreement describes. We’ll always email your super admin before we delete a paused PTA’s data.
We may suspend or end a PTA’s use of PTA Central if it seriously breaks these terms (for example by publishing unlawful content or attacking the service). Where we can, we’ll warn you first and give you a chance to put it right.
11. Our responsibility to you
Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn’t allow us to limit.
Otherwise, we aren’t responsible for indirect or unforeseeable losses, or for lost fundraising, income or data that regular downloads would have protected. Our total responsibility to your PTA in any year is limited to the amount your PTA paid us for PTA Central in the 12 months before the problem.
12. Who owns what
PTA Central (its software, design and name) belongs to us. Your PTA’s content (its name, logo, words, photos and records) belongs to your PTA. You allow us to store and show it only so that PTA Central can work for you.
13. Changes to these terms
We may update these terms from time to time. We’ll change the date at the top, and if a change is important we’ll email your super admin at least 30 days before it applies.
14. The law that applies
These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If your PTA is in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
